Packaging Proofs: What a PDF, Colour Proof and Sample Can Show

Understand what packaging PDFs, colour proofs and physical samples can each support during approval.

A packaging PDF, colour proof and physical sample answer different questions. Before approving, ask what the supplied proof represents and what it cannot establish. “Approved” is ambiguous if one person means wording and another means the entire manufacturing outcome.

Use a PDF for controlled artwork review

A PDF can support copy, layout and relevant production checks in an appropriate workflow. Ordinary screen viewing does not prove the final substrate, finish or colour. Check the exported file rather than approving only the editable design canvas.

Clarify the colour-proof conditions

Ask which process, profile and material the proof is intended to simulate. A proof on one surface may not demonstrate the appearance of a different production substrate or special finish. Record any known limitations and who owns the colour decision.

Inspect samples for the job they represent

A structural dummy may help assess folds and handling without representing final print. A printed sample may show surface appearance but still need clarification about whether it uses production materials.

Studio perspective

The studio recommendation is an approval matrix listing copy, colour, structure and finish separately.

Frequently asked questions

Does signing a PDF approve the material?

Only if that scope is explicitly supported; normally it cannot demonstrate physical material performance.

Is every sample production-equivalent?

Ask the supplier what differs from the final run.

Can several approvals be recorded together?

Yes, but identify which evidence supports each one.
